Responsibilities
- Schedules and organizes complex activities such as meetings, travel, conferences and department activities.
- Attend monthly Board of Directors meeting and quarterly Advisory Council meetings. Prepare minutes and distribute timely.
- Maintains databases for company sponsored programs and runs reports.
- Assign parking spots and manage leased parking.
- Establishes, develops, maintains and updates filing system. Retrieves information from files when needed.
- Organizes and prioritizes large volumes of information and calls.
- Sorts and distributes mail. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
- Answers phone for Supervisor or department. Takes messages or fields/answers all routine and non-routine questions.
- Acts as a liaison with other departments and outside agencies, including high-level staff. Handles confidential and non-routine information and explains policies when necessary.
- Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the Supervisor.
- Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Assist with fundraising and public relations activities.
Qualifications
- Associate’s degree preferred or equivalent combination of education and experience.
- Two + years of administrative experience.
- Excellent verbal and written communication skills.
- Excellent organizational skills.
- Ability to proficiently use and perform key functions of MS Office programs.
- Ability to work closely and effectively with all employees and management staff.
