JOB DESCRIPTION:
The Arizona Department of Education (ADE) Grants Management Section is seeking a Grants Management Technology Specialist.
BRIEF JOB DESCRIPTION: Identify, track, and seek out deficiencies within the Grants Management Enterprise (GME) system. Research and facilitate a solution to correct deficiencies. Maintain and create all funding applications and any related procedures in the GME system. Provide help desk services to external and internal customers with the GME system and Grants Management related questions. Coordinate and facilitate the process for creating GME Funding Applications with office personnel and recommend efficient funding application functionality. Coordinate with the GME vendor to resolve GME related issues, identify system update deficiencies, and coordinate periodic GME system updates initiated by Grants Management. Make recommendations for GME process and procedure changes and systematic enhancements within the GME system. Assist Grants Management Technology Director with the assessment of new systems and/or processes by making recommendations as relating to Grants Management functions, and policies and procedures. Maintain GME system procedures documentation. Coordinate with ADE Information Technology (IT) to ensure GME processes and functionality are coordinated and efficient within the agency as it relates to internal users. Work with the GME vendor to identify and resolve internal support items caused by system issues and other system related processes. In-state and out-of-state travel are required for this position.
KNOWLEDGE, SKILLS, AND ABILITIES (KSAs):
KNOWLEDGE REQUIRED: GME or similar system Basic methods of planning, report writing, and document development Basic methods and techniques of accounting and fiscal management Basic technical terms, software, and practices as it relates to IT Local, state, and federal grant-related programs, resources, and regulations Policies and procedures that relate to the GME system and Grants Management Business methods, procedures and practices, and rules governing grants management Basic project management, practices, and procedures Applicants must have an Associate’s degree in Business, Technology or related field and / or equivalent job related experience
SKILLS REQUIRED: Microsoft Word and Excel Maintaining SharePoint, websites, and applications relating to Grants Management processes and procedures
ABILITIES REQUIRED: Manage multiple tasks and produce accurate and timely documents, reviews, and reports Provide great customer service and technical support to internal and external customers Conduct research and use analytical processes to identify issues Apply creative thinking in developing situations Identify complex problems by conducting tests, gathering research, and information Analyze and identify problems, use logical reasoning, and draw valid conclusions in order to determine and implement an effective course of action Communicate effectively both written and verbally Review, edit, and evaluate written documents to produce quality products Work independently Manage time efficiently Work within a team and collaborate to work effectively
SPECIAL SELECTION FACTOR(S):
Preference will be given to those applicants with experience in WordPress and basic Hypertext Markup Language (HTML)
PRE-EMPLOYMENT REQUIREMENTS:
Position requires possession of and ability to retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12.).
