We are looking for a talented individual to fill our Program Assistant Supervisor - Advanced position in the Department of Health Services (DHS); Division of Care and Treatment Services (DCTS), Southern Wisconsin Center (SWC) for the Developmentally Disabled in Union Grove, WI. 

SWC is a state operated Intermediate Care Facility for Individuals with Intellectual Disabilities. SWC provides a wide variety of programs and services designed to assist and prepare individuals to live successfully in the setting that best meets their needs.

Position Summary:
  • This position is responsible for supervising staff and providing a wide variety of program support for a large institution of nearly 500 staff at SWC. Duties and responsibilities include: 
  • Supervision of the preparation and maintenance of complex work schedules of all 24-7 assigned staff
  • Drafting of applicable scheduling policies and procedures for all unique work units within SWC
  • Working closely with supervisors and staff in the use of Atlas Scheduling software
  • Supervision and direction of subordinate administrative support scheduling staff; and all other duties related to scheduling.
Special Notes: 

  • Due to the nature of these positions, all applicants will be required to allow the Department of Health Services to conduct a background check to determine whether the circumstances of any convictions may be related to the job being filled. 
  • All appointees will be required to receive a TB test, which will be administered by SWC or medical personnel approved by the facility prior to their start date.

Qualifications:

Minimum qualifications include:

  • Experience serving in a leadership role performing tasks such as providing assistance, coaching, guidance and/or training to other staff.
  • Experience with preparing staff work schedules. This includes performing duties such as preparing and updating staff schedules, ensuring adequate coverage on units, timekeeping functions, and/or tracking staff vacation and sick leave.
  • Proficient in the use of MS Office programs including Word, Excel and Outlook.
  • Excellent communication skills.
  • An ability to use good judgment and logic when solving a problem.


In addition, well qualified candidates will have:

  • Supervisory experience including tasks such as performance evaluations, resolving conflict, assigning/reviewing work of subordinates, interviewing or recommending hiring of staff, etc.
  • Experience developing or participating in the development of quality improvement programs/initiatives.
  • Experience developing and implementing policies or procedures.
  • Experience scheduling 100+ staff in a 24/7 setting.
